Where catalogue text is used, matching is a lookup. Where a planner chose their own words — and that is the rule — the estimator first has to work out which service is even meant before they can look for a price.

The AI recognises the work behind every item — semantically, against performance lists, the article master and your own past items. That one recognition unlocks both the material price and the labour minutes.

The price pool fills before the first supplier replies.

Weeks pass before every quote is in. So people estimate, wait, or calculate at the last minute — and the deadline keeps running.

For every item the system gathers price candidates from wholesale master data, from comparable items in past projects and from the labour minutes in your performance lists. No candidate is discarded because a better one exists — they sit side by side with their source. A solid partial costing exists on the day the tender arrives.

The work is not the arithmetic. It is the post.

Enquiries out, second wave, third wave. Back come partial quotes as PDF, as scan, in a mail attachment — with the wrong project reference, in the wrong folder, covering five items out of two hundred and fifty-six. Finding them and filing them correctly is the real effort.

Incoming quotes are read, matched to the items and placed in the pool — scans included, wrong project references included. What cannot be matched unambiguously is kept as a low-confidence reference rather than discarded.

The estimator takes over a draft, not an empty bill.

Today the final costing starts from nothing: every trade in one sitting, item by item, with no idea where the expensive uncertainties are.

The draft is priced when the estimator opens it. Exceptions are sorted by value × uncertainty — the most expensive unknowns first. They check those, set the factors at total level and approve.
